Florida documents: the state-level route

If your birth certificate, marriage certificate, or other civil record was issued in Florida, it follows the state route: the apostille is issued by the Florida Department of State, following the same principle explained in our guide to state vs. federal apostilles. If any of your civil documents were issued in another state before you moved to Florida, that document still follows the issuing state's route, not Florida's, no matter how long you've lived here since.

The FBI background check: the federal piece, not an FDLE record

This is where Florida residents most often get tripped up: the Florida Department of Law Enforcement (FDLE) certifies criminal history at the Florida state level, but Portugal's checklists for U.S. applicants generally ask for the FBI Identity History Summary, a separate federal document apostilled through the U.S. Department of State's Office of Authentications, not through any Florida office. Under current VFS Global checklists, this certificate is generally required to be less than 90 days old on the appointment or submission date, so it's worth ordering it with that limit in mind, not too early and not too late.

Financial documents to show retirement income

Evidence of a pension, Social Security, investment income, or other passive income is a central part of a retiree's file, but it doesn't always need an apostille. First confirm whether the checklist wants an apostille, a notarization, or simply the original or a recent letter from the paying institution. Don't leave translation out of the timeline

Portugal is a party to the Hague Apostille Convention, so most eligible U.S. documents are authenticated with an apostille rather than consular legalization, as explained in our central guide to documents for procedures in Portugal. Even so, the receiving Portuguese authority frequently also requires an official Portuguese translation of each apostilled document. Add that step to your timeline from the start: translating a document after it's apostilled doesn't invalidate the apostille, but it does add time that should be factored in alongside the FBI check's validity window, not after that window has already been used up.

1. Confirm the VFS Global VAC and current checklist that applies to your residency jurisdiction in Florida.
